These are permanent, full time salaried positions, with benefits.

SCOPE AND RESPONSIBILITIES:
The Executive Assistant (EA) will support the President and other staff with administrative and related duties, as needed.
Hours approximately 8.00am to 5.00pm
Responsibilities include, but are not limited to:
Friendly and helpful telephone answering, routing of calls and messages.
Supplies: keep track of inventory; order new supplies; plan ahead; be cost efficient.
Filing: both paper and electronic records.
Assist with various marketing tasks, including ordering job signs, promotional items, arrange photo shoots, etc.
Organize and maintain President’s calendar and schedule; remind, prepare for, and follow-up with appointments and meetings.
Assist in preparation for meetings, presentations, bids/proposals, etc.
Flawless correspondence and direct phone contact as necessary, with employees, clients, vendors, architects, sub-contractors and other professionals.
Deal with various reports and spreadsheets.
Deal with construction documents as needed.
Internet research.
Run errands.

EXPERIENCE/SKILLS WE SEEK:
In general, we seek someone with overall excellent administrative skills, energetic, and positive attitude and strong aptitude for learning.
At least five years of professional administrative background, with at least two years of executive level admin experience.
Experience working at a construction or related company (architecture, design, engineering, etc. is a big plus.
Experience with Microsoft Office Suite, including Excel, Word, Outlook and PowerPoint or Publisher.
Strong command of the English language, both written and verbal.
Strong basic math skills; have a “head for numbers.”
Experience with a database software program of some kind is helpful.

Final candidates will be tested on above requirements.
