POSITION TITLE: Project Administrator (Carpet company)

REPORTING TO: Project Managers and CFO

Golden State Carpet Service is a leading provider of commercial floor covering for architects, designers, general contractors, building owners and building managers. Since 1971 we assisted clients in determining the right type of floor covering for their applications with regard to budget, performance and aesthetic issues.

GSCS seeks a Project Administrator to assist the Project Managers in the administration of customer orders.

The Project Administrator must have three years of progressively responsible office and administrative experience, experience in, and be qualified to do the following:

Request pre-liens and Insurance Certificates for upcoming projects

Create submittal packages for upcoming projects, which includes reading contracts or bid documents to determine the required number of samples of each product and necessary documentation

Create purchase orders and track all materials ordered for upcoming projects for three Project Managers.

Call manufacturers to check stock on material

Make adjustments to inventory as needed, and utilize software system pertaining to inventory receiving and costing

Put together closeout packages, guarantee and warranty books with title sheet and cover letter

Maintain Safety Data Sheets and create job specific booklets with title sheet and cover letter with information for the appropriate materials.

Maintain and update supplier and material information.

Must be able to have internet researching skills to find products and product information

Type letters, emails, and memos

Help answer phones when busy


Proficiency in all Microsoft Office Suite, including Word, Excel and Outlook.

Anticipates needs and plans ahead

Ability to multitask, keeping track of multiple project orders

Good follow up skills

Good phone/verbal/written presentation skills


High school diploma.

Some college experience is preferred.


We have full medical benefits in an HSA/Health Savings Account, an employee stock ownership program, and after one year, the employee will have two weeks of paid vacation.  Starting pay is $17 per hour plus opportunity for advancement.
