IFTI seeks an Entry Level Administrative Assistant to support the Operations, Sales and Accounting functions with various administrative duties.



SCOPE AND RESPONSIBILITIES:
The work of the Administrative Support Assistant will have standard, as well as ad-hoc duties, and projects will vary.

  • Provide administrative support to the Account Manager, Operations Manager and Project Manager functions.


  • Provide administrative support to the sales and marketing functions.  Arrange and coordinate promotional events and tradeshows.  Coordinate travel arrangements for IFTI employees.


  • Provides support to the accounting and bookkeeping function.


  • Performs clerical and administrative functions, which include, but are not limited to, managing incoming calls, receiving, processing prioritizing and distributing mail and appropriate email, manages package pick up and deliveries, filing, copying, faxing, binding reports, verifying documentation, invoicing, and correspondence. Prepares weekly or other scheduled meeting agendas and takes, distributes and maintains minutes. Orders and maintains supplies.  Handle follow-up after meetings.


  • Perform additional assignments per supervisor’s direction.


EXPERIENCE/SKILLS REQUIRED:
In general, we seek someone with overall strong business skills, energetic and positive attitude and strong aptitude for learning.

  • Intermediate Microsoft Office Suite, including Excel, Word, Outlook and PowerPoint or Publisher.
  • Self-motivated. Always thinking ahead for ways to help the rest of the team and how to streamline operations.
  • Good command of the English language, both written and verbal.
  • Good skills with numbers. Mastery of basic mathematics without a calculator. Have a “head for numbers.”


Final candidates will be tested on above requirements.

EDUCATION/CREDENTIALS:
High School Diploma required. Some college is a plus.

Base pay range is $12 - $14 per hour range, depending on experience. Medical benefits, vacation, and opportunities for career growth and training. Potential company bonus. 401k Plan.
